Privacy policy
How RJG Mediaworks collects, uses and looks after personal information.
The short version
- We collect what you send us (name, business, website, phone, email, message) and basic website usage data.
- We use it to reply, do the work and run our business. We don’t sell it.
- Service providers such as hosting, security, email and analytics companies handle some of it, and some of them store data outside Australia.
- You can ask to see or correct what we hold. If you’re unhappy, tell us first. You can also complain to the OAIC.
You send a form, call or email. You choose what to tell us, and you can leave things out.
01Who we are
RJG Mediaworks (ABN 25 637 433 455) is a digital studio based in Brisbane, Queensland. This policy explains how we handle personal information collected through this website (rjgmediaworks.com) and in the course of our work. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
02What we collect
What we collect depends on how you deal with us.
- Enquiries and free website checks: your name, business name, website address, phone number, email address, the services you’re interested in, and anything you write in your message.
- Clients: contact and billing details for your business, and what we need to do the work, such as access to your website, hosting, analytics, Search Console, Google Business Profile or advertising accounts.
- Website visitors: technical information such as the pages you view, your device and browser type, your approximate location, how you reached the site and your IP address.
- Newsletter: your email address, if you subscribe.
We don’t ask for sensitive information, such as health information. Please don’t send passwords or card details through our forms. If we need access to an account, we’ll arrange a safe way to do it.
03How we collect it
Mostly directly from you: through our forms, by phone, by email and in meetings. Some is collected automatically when you visit the site (see Cookies and analytics). Occasionally we collect it from public sources, such as your website or business listings, when we prepare a free website check.
When you send a form, your details go to us by email and, for a free website check, into our own client system, which runs on our server in Sydney. We also note which page a form was sent from and how you first found the site (for example a Google search), without your name or contact details, so we can see which pages bring enquiries.
04Why we use it
We use personal information to:
- reply to your enquiry and prepare a free website check, quote or plan;
- deliver and support the services you ask for, and invoice you for them;
- understand how the site is used and improve it;
- send you the newsletter, if you’ve subscribed; and
- meet our legal obligations.
We use your information for the reason you gave it to us, or for a closely related reason you would reasonably expect.
05Cookies and analytics
We use analytics tools, such as Google Analytics, to see how people use this website: for example which pages are read and which devices are used. These tools set cookies or use similar technologies. You can block or delete cookies in your browser settings, and the site will still work.
The site is delivered and protected by Cloudflare, and our forms use Cloudflare Turnstile to check that a person, not a bot, is sending them. To do that, Cloudflare processes technical information such as your IP address and browser details. It doesn’t use this to target advertising.
A few features save a small amount of information in your browser so the site can remember it, such as a brief you’ve built so it can be carried to the contact form. That stays on your device. We only receive it if you send the form.
06Who we share it with
We don’t sell personal information. We share it only with:
- service providers who help us run the business, such as website hosting (DigitalOcean, in Sydney), website security and spam protection (Cloudflare), email (Google Workspace), form and newsletter email (Brevo), analytics (Google Analytics), and project and accounting tools;
- professional advisers, such as accountants and lawyers;
- people you ask us to deal with on your behalf, such as your hosting company or an advertising platform; and
- authorities, if the law requires it.
We choose providers carefully and expect them to protect the information they handle for us.
07Sending it overseas
Some of our providers may store or process information outside Australia: for example Google and Cloudflare (including in the United States) and Brevo (in the European Union). Before we disclose information overseas, we take reasonable steps to make sure the provider handles it in a way that’s consistent with the APPs.
08Security and keeping it
We protect information with access controls, secure connections and regular backups. We keep personal information only as long as we need it for the reasons above or the law requires, then delete it or remove the details that identify you. Free website check requests are deleted from our client system after 18 months unless you become a client, and you can ask us to delete yours sooner.
If there is a data breach likely to cause serious harm, we’ll tell the people affected and the Office of the Australian Information Commissioner (OAIC), as the Privacy Act requires.
09Marketing emails
We only send marketing emails, such as our newsletter, if you’ve asked for them, as the Spam Act 2003 requires. Every email says who it’s from and has an unsubscribe link, and we’ll act on a request promptly.
10Seeing and correcting it
You can ask for a copy of the personal information we hold about you, and ask us to correct it if it’s wrong. Contact us using the details below. We may need to check who you are first, and we aim to reply within 30 days.
11Complaints
If you think we’ve mishandled your information, tell us using the details below. We’ll look into it and reply. If you’re not happy with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
